Getting Started / Switching

How difficult is it to switch from my current gym software?

Switching is much easier than most expect. Our onboarding team handles the heavy lifting, including data migration and setup, so you are not rebuilding your business from scratch. We guide you step by step to make sure everything transitions smoothly for both your staff and your members.

Will I lose any member data during the transition?

We take data integrity seriously and work to securely transfer your member information, including contact details, billing records, and membership status. The goal is to keep everything intact so your business continues running without disruption.

Can you import all of my existing members, billing info, and contracts?

In most cases, yes. We can import member profiles, billing details, and key account information. Some limitations can depend on your current system, but we will clearly explain what transfers and make sure you are set up properly moving forward.

Will my gym experience any downtime during the switch?

No. We plan the transition carefully so billing cycles and member access continue without interruption. Your members will not notice a disruption and your staff can keep operating as usual.

How long does onboarding and setup typically take?

Most facilities are set up within a few days to a couple of weeks, depending on complexity. If you are opening a new gym, we can align the setup with your opening timeline so everything is ready when you launch.

How does your billing system work? Is it automated?

Yes. Billing is fully automated. You can set up recurring memberships, fees, and schedules, so payments run consistently in the background. The system also handles retries and member notifications, which reduces manual follow-up.

What are your processing rates and fees?

Processing rates are competitive and depend on your setup and volume. We keep pricing transparent so you know exactly what to expect. Our team can provide a custom breakdown based on your facility.

Can I keep my current merchant processor or do I have to switch?

In many cases, we recommend using our integrated processing because it allows for better automation and support. That said, we can review your current setup and help you decide what makes the most sense for your business.

What happens if a member's payment fails?

The system automatically retries failed payments and notifies the member to update their billing information. You can also restrict access for past due accounts, which helps you recover revenue without chasing payments manually.

How do chargebacks and disputes get handled?

We provide the tools and documentation you need to respond quickly. Billing records, signed agreements, and access logs all help support your case and improve your chances of resolving disputes successfully.

Door Access and Security

How does 24/7 door access control work?

Members receive secure access credentials such as a key fob, card, or mobile QR code access. When they scan in, the system checks their account status and grants or denies entry instantly without staff involvement.

Can the system automatically deny access to past due members?

Yes. If a member is past due, access can be restricted automatically until their account is brought current. This helps protect your revenue without requiring uncomfortable conversations.

What hardware is required for door access and how is it installed?

We provide access control hardware designed specifically for gyms. Installation is straightforward, and we guide you or your installer through the process to make sure everything is set up correctly.

What happens if the internet goes down, will the doors still work?

Yes. The system is designed for reliability, and door access can continue functioning during temporary internet outages depending on your configuration.

Can I monitor or control access remotely?

Yes. You can manage access, view activity, and make updates remotely, giving you full control of your facility from anywhere.

Is there a mobile app for members? What can they do with it?

Yes. Members can manage their accounts, update billing information, make payments, and stay connected with your gym directly from their phone. This improves convenience and reduces front desk workload.

How easy is it for my staff to learn and use the system?

What if a member wants to change their Plan?

In many other gym softwares, you have to cancel and re-enroll them. In Gym Insight, just click the edit button on their customer profile and select a new membership type. Select the customer's new membership and hit rewrite and sign.

How easy is it to have a promo on social media?

Create your membership Promo. After it is completed, simply click on the link icon or the QR code Icon to generate a QR code and POST!
